Saloon OS (“Saloon OS”, “we”, “us”) is a salon-management platform operated by Growth Path Mapper Private Limited, Noida, Uttar Pradesh, India (GSTIN 09AAKCG4334Q1ZY). This policy explains, in plain language, exactly what we collect, why, who we share it with, and the choices you have — written for how an Indian salon actually uses Saloon OS.

In short: your salon’s data belongs to you. We use it only to run Saloon OS for you, we never sell it, and we never message your clients except the campaigns you set up yourself.

1. Who is responsible for the data

For data your salon enters about its own clients and staff, your salon is the controller/data fiduciary and Saloon OS is the processor acting on your instructions. For the account and billing data you give us to run your subscription, we are the controller.

2. What we collect

Account & salon details — your name, email, phone, salon name, address, and (when you add it for tax invoices) your GSTIN.
Business data you enter — clients, appointments, services, products/inventory, sales & GST bills, memberships and staff records.
Staff attendance & location — when a staff member taps “Check In” in the staff app, we capture their GPS coordinates at that moment to confirm they are within your salon’s geo-fence, and again if they step beyond the set radius during a shift. We do not track staff location continuously or in the background.
Product-usage & spillage logs — the quantities of product staff record against a service, used for your inventory and waste reports.
Payment & mandate data — handled by Razorpay. We store only a payment/subscription reference and status; we never see or store full card, UPI or bank credentials.
Technical & usage data — sign-in times, device/browser type and basic logs needed to operate and secure the service.

3. How we use it

To run the features you use — billing, appointments, inventory, attendance, reports and campaigns.
To process your subscription through Razorpay and issue GST-compliant invoices.
To send you service messages (password resets, trial/renewal reminders) and to send your clients only the email/WhatsApp campaigns you create and trigger.
To provide support, prevent abuse and keep the platform secure.
We do not use your salon’s client data to advertise, profile or train models, and we never sell it.

4. Your clients’ data & messaging consent

You decide what client information to store and when to message them. You are responsible for having a lawful basis and the necessary consent to contact your clients by email/WhatsApp, and for complying with WhatsApp’s Business policy and applicable TRAI/DPDP rules. Saloon OS only delivers the messages you choose to send.

5. Who we share data with (sub-processors)

We share data only with the partners needed to run the platform, under confidentiality obligations:

Razorpay — subscription payments & auto-debit mandates.
Hostinger — application hosting & delivery.
Neon — managed database storage.
Your email / WhatsApp providers — the mailbox and WhatsApp number you connect to send your own campaigns and bills.
Google — only if you enable Google Calendar sync for appointments.

We do not sell personal data to anyone.

6. Where data is stored

Your data is stored on secure cloud infrastructure. Some providers (e.g. our database and hosting) may process data on servers located outside India; where they do, we rely on those providers’ standard safeguards.

7. How long we keep it

We keep your account and business data while your account is active. To meet Indian tax and accounting law, sales and GST-invoice records are archived and retained even after you delete them from your dashboard, for the period required by law (generally up to 8 years). This compliance archive is access-restricted and used for no other purpose. On account closure, other personal data is deleted or anonymised within a reasonable period, except records we must legally retain.

8. Security

We protect data with encryption in transit (HTTPS), hashed passwords, scoped access controls, and strict per-salon data isolation so one salon can never see another’s data. No system is perfectly secure, but we work continuously to protect your information.

9. Your rights

You can access, correct, export or request deletion of your data, and withdraw consent, by contacting us — subject to records we must retain by law. We respond within a reasonable time.

10. Cookies

We use only essential cookies required to keep you signed in and operate the service. No third-party advertising cookies.

11. Children

Saloon OS is a business tool for salon owners and staff and is not directed at children under 18.

12. Grievance Officer

In line with Indian law, data questions or complaints can be sent to our Grievance Officer at hello@saloonos.com (subject: “Privacy – Grievance”). We aim to acknowledge within 48 hours and resolve within 30 days.

13. Changes

We may update this policy; the “last updated” date reflects any change, and material changes are notified in-app or by email.
